Booking Conditions

Please read these booking conditions carefully before confirming your safari, Kilimanjaro climb, or Zanzibar holiday with Serengeti Wakanda Tours.

1. How to Book

  • Request a personalized itinerary through our website, by email, or by phone.
  • Review your quotation carefully. It will include inclusions, exclusions, payment schedule, and cancellation terms.
  • Confirm your booking by paying the required deposit or full amount as stated on your invoice.
  • Receive written confirmation from Serengeti Wakanda Tours once payment is received and availability is confirmed.

2. Deposit & Payment

  • A deposit may be required to secure your booking, especially for peak-season travel and limited-availability lodges.
  • Full payment must be completed before the commencement of your safari unless otherwise agreed in writing.
  • Accepted payment methods include bank transfer, credit/debit card, and other approved options arranged directly with our team.
  • All bank charges, currency conversion fees, and transaction costs are the responsibility of the client.

3. Pricing

  • Quotations are based on rates available at the time they are issued and may change before confirmation.
  • Price adjustments may occur due to government tax changes, park fee revisions, fuel surcharges, currency fluctuations, accommodation rate changes, or supplier price increases.
  • Once your booking is confirmed and paid in full, no further price increases will apply unless you request changes.

4. Cancellation by the Guest

  • In case of any cancellation, you will receive a credit note for the full amount paid — usable to rebook your safari within a generous 2-year timeframe.
  • This lets you explore at your convenience and enjoy the adventure when the time is right for you.
  • The credit note policy is subject to the specific accommodations booked, as individual lodges, camps, and hotels may apply their own cancellation terms which take precedence where applicable.
  • No credit or refund is given for no-shows, late arrivals, early departures, unused accommodation, missed activities, missed transfers, or meals and services not used.
  • All cancellation requests must be submitted in writing (email) so we can process your credit note promptly.

5. Cancellation by Serengeti Wakanda Tours

  • If we cancel your booking due to circumstances within our control, you may choose a full refund or a rescheduled safari on mutually agreed dates.
  • Our liability is limited to the amount paid directly to Serengeti Wakanda Tours.

6. Changes to Bookings

  • Clients may request changes to their itinerary before travel, subject to availability, supplier approval, and possible additional costs.
  • Administrative fees may apply for substantial changes.
  • We will make every reasonable effort to accommodate requested changes.

7. Force Majeure

  • We are not liable for cancellations, delays, changes, or failure to perform services caused by events beyond our control.
  • These include natural disasters, floods, earthquakes, wildfires, pandemics, epidemics, government regulations, political unrest, terrorism, civil disturbances, airline cancellations, border closures, extreme weather, strikes, and mechanical failures.
  • We will assist with rescheduling or recovering refundable amounts from suppliers where possible. Refunds are subject to third-party supplier policies.

8. Travel Insurance

  • Comprehensive travel insurance is strongly recommended for all clients.
  • Your policy should cover trip cancellation, medical treatment, emergency evacuation, personal accident, lost baggage, flight delays, and personal liability.
  • Travel insurance is the client's responsibility and is not included in our package prices unless explicitly stated.

9. Travel Documents

  • Clients are responsible for obtaining and carrying a valid passport, required visas, vaccination certificates, and travel insurance.
  • We are not responsible for denied entry, missed flights, or other losses caused by missing or invalid documentation.

10. Health, Fitness & Special Requirements

  • Clients must ensure they are medically fit for the activities booked, including safaris, Kilimanjaro climbs, and water sports.
  • Medical conditions, allergies, disabilities, dietary requirements, and mobility limitations must be disclosed before booking.
  • Failure to disclose relevant health information may result in cancellation without refund.

11. Accommodation & Transport

  • All accommodations are subject to availability at the time of confirmation.
  • If a booked property becomes unavailable, we reserve the right to substitute it with accommodation of equal or higher standard.
  • Our vehicles are maintained to high safety standards, but delays due to road conditions, weather, mechanical issues, traffic, or government inspections are not grounds for compensation.

12. Flights

  • We are not responsible for airline cancellations, missed connections, schedule changes, lost baggage, or airline delays.
  • Clients should allow sufficient connection times, especially for international flights.

13. Acceptance

  • By confirming your booking or making payment, you acknowledge that you have read, understood, and agreed to these Booking Conditions and our full Terms & Conditions.
